Privacy Policy

Last updated: 20 October 2026

The short version: ShopOS stores your business data on your own phone. If you sign in, it also syncs to secured cloud storage that only members of your shop can read. If you use guest mode, nothing leaves your device. We don't sell your data, and we don't run advertising trackers on this website.

1. Who we are

ShopOS is a product of Three Twelve Technologies, built in Kenya. Our registration is in progress; legal details will be confirmed once registration is complete. Questions about this policy can be sent to info@threetwelve.co.ke.

2. What this policy covers

This policy covers the ShopOS Android application and this website, shopos.threetwelve.co.ke. It explains what information is collected, where it is stored, and what control you have over it.

3. Information the app collects

Depending on how you use ShopOS, the following may be processed:

  • Account details — if you sign in with Google, we receive your Google account email address and a stable account identifier. Sign-in is Google-based; the app does not ask you to create a separate password.
  • Shop profile — the business name, phone number, email, town/city, county/region, country, currency, M-Pesa Till Number and Pochi La Biashara number that you choose to enter.
  • Business records — products and categories, stock levels, sales, expenses, debts, appointments, staff records and payroll settings that you enter while running your shop.

4. Guest mode — no account, no cloud

You can use ShopOS as a guest. In guest mode your data stays entirely on your device and is not synced to the cloud, because there is no account attached to it. If you later sign in, you choose whether to continue with cloud sync.

5. Where your data is stored

  • On your device — a local database keeps everything working offline. This is the primary store.
  • In the cloud — if you sign in, data syncs to Google Firebase (Authentication, Cloud Firestore and Storage), so you can restore it and let invited team members access it.

Cloud data is protected by server-side security rules. Access is scoped per shop: only members of a given shop can read that shop's data, and certain destructive actions are restricted to admins and enforced on the server, not just in the app interface.

6. How your data is used

  • To provide the service you asked for — selling, stock tracking, reporting, staff management.
  • To sync your records across your own devices and team members you invite.
  • To display your M-Pesa Till or Pochi details on receipts and payment reminders you generate.
  • To manage your subscription and trial status.

We do not sell your data, and we do not use it for third-party advertising.

7. Team access you control

As a shop owner or admin you can invite people and control what they can do through permission flags — for example whether a member can view financial reports, manage expenses, or manage staff and payroll. Invited members use their own Google login. Invitations cannot be used to escalate someone's own role.

8. Deleting your data

  • Archiving — you can archive products to remove them from active lists without destroying sales history.
  • Deleting a shop — this is admin-only, enforced by server-side rules, and requires typing the shop name to confirm.
  • Requests to delete your account data can be sent to info@threetwelve.co.ke.

9. This website — cookies & tracking

This site does not use advertising or analytics trackers. The early-access form on this site collects only the name, email address, optional business type and optional message you type, and uses them solely to contact you about ShopOS.

10. Payments

Subscriptions are paid either through Google Play in-app purchase or by M-Pesa STK push inside the app. Payment processing is handled by Google or by your mobile money provider; ShopOS does not store card details or your M-Pesa PIN.

11. Children

ShopOS is a business tool and is not directed at children.

12. Changes to this policy

We may update this policy as the product changes. The "last updated" date at the top shows when it was last revised.

13. Contact

Email info@threetwelve.co.ke for any privacy question, or to request deletion of your data.
